The Executive Assistant, Philanthropy and Development will assume an integral role on The Contemporary Jewish Museum (The CJM)’s Development team by providing administrative support to the Chief Philanthropy Officer and general administrative support to the Development Department. The ideal candidate will bring excellent administrative and organizational skills to this position, and will thrive in a creative and dynamic environment. The ability to interact with board members, high-profile donors, volunteers, public and staff with a high level of professionalism will be essential. 

Reporting to the Chief Philanthropy Officer and to the Development Director, the individual in this position also interacts frequently with The CJM’s executive management and members of the Development team.

Position Title: Executive Assistant, Philanthropy and Development

Department: Development

Reports To: Chief Philanthropy Officer/ Director of Development

Status: Regular, Full-Time, Non-Exempt 

Key Responsibilities

Support to the Chief Philanthropy Officer (CPO)

(approx 50%)           

  • Provide administrative support to the CPO, including scheduling and preparing background information and materials for meetings with Board members, donors, staff and external constituents
  • Maintain calendar and schedule for CPO, tracking deadlines and important events
  • Develop agendas and notices for committee meetings, confirm attendance, and assist in presentations design and preparation. Attend meetings, draft and distribute minutes
  • Assist in preparation of correspondence, proposals and reports. Process internal expense reports
  • Coordinate information flow and documents with both internal and external parties
  • Work closely with the Executive Director’s office to coordinate Development activities and donor visits

Support donor cultivation and stewardship activities for the Development Department 

(approx 50%)

  • Maintain a coordinated calendar for the entire Development Department, tracking deadlines and important events
  • Support Development Department staff with the administrative and logistical elements for committee meetings 
  • Coordinate logistics for donor cultivation and stewardship activities and events
  • Produce donor and constituent reports, including data input
  • Provide support of donor fulfillment including, but not limited to mailings, catalogs and reports
  • Provide support functions for other CJM fundraising and membership events
  • Answer phones and greet visitors to the Administrative offices
  • Perform other job-related duties as assigned
Minimum Qualifications
  • Bachelor’s degree or equivalent experience
  • Three to five years of related work experience, preferably in non-profit development or administration
  • High proficiency in Microsoft Office (Outlook, Word, Excel) and PowerPoint, Adobe Acrobat and social media platforms
  • Knowledge of and proficiency in database management (Raisers Edge experience preferred)
Knowledge, Skills and Abilities
  • Excellent interpersonal skills; and ability to communicate clearly and effectively, both verbally and in writing
  • Proven ability to handle confidential information with discretion
  • Excellent project management skills that reflect ability to prioritize and coordinate multiple projects
  • Ability to perform detailed tasks accurately and to meet deadlines
  • Experience in preparing presentation materials (included PowerPoint) for staff and board-level audiences
  • Demonstrated problem solving abilities and strong time management skills
  • Ability to work extended, flexible hours (some evenings and weekends)
  • Interest in and commitment to the mission of The Contemporary Jewish Museum
Physical Requirements
  • Extensive reading and writing via desktop, ability to follow written and verbal instructions and procedures
  • Open work space environment
  • Ability to remain standing for up to three hours
  • Ability to lift up to 15 pounds
