GIFT PROCESSING AND DATA MANAGEMENT SPECIALIST
Position Summary

The Contemporary Jewish Museum (The CJM) seeks a Gift Processing and Data Management Specialist to support the Development department in fundraising functions including recording and acknowledging gifts, data management, data reporting, gifts reconciliation with Finance colleagues, and coordinating fundraising communications with the Marketing and Communications team.

This role is responsible for ensuring seamless systems integration of donor information, ticketing, and online sales, including the responsibility for the ongoing administration of The Museum’s Database Solution (Altru), a product of the Blackbaud company. By using all available technology and resources to maintain accurate, up-to-date donor and gift information, this role plays a key part in maintaining donor database integrity and providing excellent donor customer service.

The Gift Processing and Data Management Specialist will report to the Membership and Development Operations Manager, and will work with the Development team to ensure that the tools are in place and information is readily available for the cultivation of essential donor relationships, and the reporting of fundraising activity. The position requires a candidate with an eye for efficiencies and a talent for coordinating cross-departmental needs.

Reports To: Membership and Development Operations Manager
Status: Regular, Full-time, Non-exempt
Location: The CJM’s public spaces have reopened and this position will require on-site work, following safety guidelines and protocols. As The CJM is in the process of reopening administrative offices, this role may have the ability for some remote work.

Hourly rate: $32

Essential Job responsibilities

Gift Processing

  • Coordinate and perform all aspect of gifts processing including gift entry, tracking, data audit, and reporting; manage information flow between Development and Finance departments
  • Maintain electronic and paper-based organizational systems related to all gifts records; ensure database and paper records are always accurate and up-to-date
  • Work with the Finance team to ensure solid and consistent record-keeping and gift reconciliation between Finance and Development departments
  • Communicate reporting requirements and specific acknowledgment requests in gift collateral to Finance and Development colleagues
  • Coordinate and maintain gifts and data entry for third party giving and matching gift programs
  • Assist Finance department, as needed, in producing financial reports and correspondence including financial statements, annual audits, and tax acknowledgement letters
  • Collaborate with Membership and Development Operations Manager to develop ways to streamline and improve process, ensuring that gifts are processed and acknowledged in a timely matter, maintaining data integrity
  • Co-manage the membership email inbox with Development Operations and Membership Manager; act as point of contact for support around donation issues through various donation platforms

Donor Data Management

  • Under guidance of the Membership and Development Operations Manager, share responsibility for ongoing maintenance and regular activities using The CJM's constituent database system (Altru) and its complementary systems: online transaction systems, event registration, and mass email communications
  • Administer existing donor information systems and assess system centralization capacity for ticketing, rental, event management, mailing, email, and web form in Altru
  • Serve as point of contact for Blackbaud when providing deliverables and for communication of CJM institutional needs
  • Process all incoming donations, including contributions from individuals, foundations, and corporations
  • Reconcile Development department contributed revenue with financial accounting and operations reporting
  • Maintain database integrity and update constituent information
  • Create queries and reports to meet the needs of the fundraising team and to analyze the effectiveness of fundraising activities
  • Provide database lists as requested by other departments of The Museum
  • Work with the Development Operations and Membership Manager to design fundraising queries and build donor database reports as requested
  • Work with the Development Operations and Membership Manager to coordinate monthly direct mail membership renewals, acquisition and annual fund campaign mailing lists to ensure timely mailing process
  • Coordinate with Marketing and Communications department on email list and data requests, and generating of emailing lists
  • Assist in the coordination of annual donor recognition
  • Collaborate with Museum colleagues capturing donor and visitor data to identify growth opportunities, improve donor experience, and streamline the data collection process
  • Provide technical support to Visitor Experience Manager to ensure proper functioning of ticketing system

Donor services

  • Coordinate and perform bulk acknowledgements including query design, export, and mail merges
  • Communicate with members via phone and email, providing superior customer service for our member and donor inquires
  • Assist with member and donor events and their coordination
  • Coordinate communications to members around events, making sure attendance is tracked and that guests receive reminders and follow-up messages
  • Work on special events or projects as planned with and assigned by Membership and Development Operations Manager
Minimum qualifications

Education and experience

  • Bachelor of Arts or Science degree
  • Excellent written and verbal communication skills
  • 2+ years Development experience with back-office functions related to gift processing data entry and reporting; interest in the arts or Jewish cultural field a plus
  • Experience with Raiser’s Edge, Altru, or similar donor databases
  • Proven track record of working effectively to solve problems and be a generative colleague

Knowledge, Skills, and abilities

  • Strong organizational and time management skills with exceptional attention to detail
  • Ability to study and adapt to advanced technology systems (database, website content management systems, mass email systems, integration systems, event ticketing systems)
  • Ability to create and execute stable, repeatable routines; adaptable to changes in processes, systems, inputs, or desired outputs
  • Ability to follow directions of a complex technical nature and to work independently to deliver results
  • Ability to be analytical and results-oriented while remaining flexible
  • Strength in organizing and reorganizing complex datasets into solutions 
  • High proficiency in Microsoft Office, specifically Excel, pivot tables, Google Drive
  • Proficiency to manage multiple deadlines and work with diverse groups cross-organizationally in a collaborative manner; familiarity with project management tools like Asana a plus
  • Ability to handle confidential and sensitive information
  • Availability to work occasional evenings and weekends
