DEVELOPMENT OPERATIONS ADMINISTRATOR, TEMPORARY
Position summary

The Contemporary Jewish Museum (The CJM) is looking for a flexible, analytical, and results-oriented professional to fill the position of Temporary Development Operations Administrator. The Development Operations Administrator is responsible for ensuring seamless systems integration of donor information, ticketing, and online sales. This includes responsibility for the on-going administration of The Museum’s Database Solution – Altru – a product of the Blackbaud company.

The Administrator will report to the Director of Development and will work with the full Development team to ensure that the tools are in place and information is readily available for the cultivation of essential donor relationships, and the reporting of fundraising activity.

The Administrator will also interact regularly with members of The CJM’s marketing, visitor services and finance teams, and with outside support staff from Blackbaud to integrate data systems. The Administrator will share responsibility for designing processes based on assessment of interdepartmental data needs. Developing and sharing best practices for a shared database will be essential.

The CJM is currently closed to the public in accordance with the latest guidelines from local and state public health authorities, and is planning for reopening when San Francisco health and safety mandates allow. This role may be a combination of remote and on-site work. However, once The CJM is open to visitors, some work within the building and in galleries will be expected. The schedule will be based on specific projects and exhibitions, and will always consider safe distancing and safety protocols.

Essential Job Responsibilities

The Administrator will have responsibility for the following:

Donor Information Systems Management 

  • Share responsibility for ongoing maintenance and regular activities using The CJM constituent database system—Altru by Blackbaud—and its complementary systems: online transaction systems, event registration and mass email communications
  • Serve as point of contact for Blackbaud when providing deliverables and for communication of CJM institutional needs
  • Translate existing queries and lists to new system, developing new tools as needed
  • Administer existing donor information systems and assess system centralization capacity for ticketing, rental, event management, mailing, email and web systems in Altru
  • Develop strategy and recommendations for improving processing and system performance with regards to Altru
  • Interface with internal finance team to ensure accurate translation of current and historical organizational financial data
  • Serve as point of contact for other staff who need technical support, including customization, of Altru reporting
  • Work with the Director of Development and development program officers as well as the Controller to configure necessary data entry and analysis components and build an Altru data entry guide to centralize donor information, and to maintain the integrity of donor information

Ongoing Development Operations

  • Deliver lists, and provide gift management tools to fundraisers, event managers and marketing teams based on calendar of expected output
  • Ensure complex queries, lists and needed support for membership and other annual campaigns are generated and distributed to users when needed
  • Develop data reports and tools for senior managers, funders and colleagues responsible for institutional giving
  • Maintain and backup the Donor Information database on servers
  • Maintain synchronization of donor information and ticketing systems
  • Provide technical support to Visitor Services Manager to ensure proper functioning of ticketing system
  • Collaborate with the Development team to develop written reports and statistics as needed for specific
  • funders
  • Maintain all existing back-of-house operations, strategizing with the Development team to ensure program officers manage and steward constituents
  • Utilize Altru to track all individual fundraising and prospecting activities for increased knowledge and continual growth and improvement
  • Maintain accurate and complete records of communications, and analyze donor and prospect data to identify and qualify potential donors
  • Participate in the development of short and long-term fundraising plans and goals for the growth of individual and institutional support, along with strategies to achieve those goals
  • Provide reporting tools and other support to executive team and Director of Development. Prepare monthly reports for Development Committee and Board use
  • Collaborate with Museum colleagues capturing donor and visitor data to identify growth opportunities
  • Work with Development department team to create prospecting, cultivation, solicitation and stewardship strategies through Altru
  • Ensure prospect and solicitor lists are well maintained and assigned for follow up
  • Provide technical support to Museum colleagues who use the donor information system on an occasional basis to manage contact lists and VIP guest lists
  • Support reconciliation of gifts in Altru with finance department records
Minimum Qualifications

Education and Experience

  • BA or BS degree
  • Experience working in databases, on-line platforms, and/or other related technology
  • Experience in implementing change, ideally in a professional work environment
  • Commitment to the mission, vision and core values of The CJM

Knowledge, Skills, and Abilities

  • Ability to study and adapt to advanced technology systems (database, website content management systems, mass email systems, integration systems, event ticketing systems)
  • Ability to create and execute stable, repeatable routines; adaptable to changes in processes, systems, inputs or desired outputs
  • Ability to follow directions of a complex technical nature and to work independently to deliver results
  • Strong in organizing and reorganizing complex datasets into solutions
  • Ability to develop technical solutions that internal and external users will find useful, helpful, and easy to use
  • Ability to collaborate with small teams to conceptualize solutions and constructively segment the workload across teammates and then work independently to deliver on assigned components
  • Skilled in using Microsoft Office (PowerPoint, Word, Excel)
  • Well-developed organizational skills, detail oriented
  • Proven ability to meet deadlines
